POP3 email account

  • Make sure you always have enough disk space on the web hosting server. This will save you many troubles, especially if your emails share this space.

    A good way to prevent your POP3 email accounts from unnecessarily using disk space is to avoid keeping copies of messages on the server since your mail software already keeps a local copy.

    However, if you need to keep a copy of your messages on the server, adjust your email software settings in order to keep only the last 14 days. This will avoid monopolizing any web space at your disposal. Ideally, when your website and email accounts share the hosting disk space, you should at least have a third of the space unused to prevent email reception problems.

    When one of your email accounts is no longer valid for any reason, make it a habit to delete it, especially if it?s a catch-all account. You may also redirect it to another active email address. This will ensure that it does not fill up your free space unnecessarily.

IMAP email account

  • If your email accounts are under the IMAP protocol, know that a copy of every email you send is stored in the "Sent Items" folder, so it is important to clean this folder regularly in order to free some used space. Don't forget to also empty the "Trash" and the "Spam" folders, you will be surprised what these two may contain.

    The IMAP protocol is increasingly used because of its conveniency with mobile devices (mobile phone, tablet, etc.), It is therefore essential to manage its use adequately.     You like to include multimedia files to your website, then why not place your audio, video or pictures on specialized sites, such as YouTube or Flickr. This way, the weight of these files, as well as the bandwidth consumption will not count in your web hosting service and you will also take advantage of these websites popularity.

    If you use your web hosting account to exchange files with your customers or suppliers through an FTP access, make sure to clean those files regularly and do not use your web space to backup data that could be placed on sites offering this kind of service, often for free.
